From a Day to Minutes: How a Trading Business Transformed Quotations with BizOS
A multi-branch trading business replaced three disconnected spreadsheets with BizOS, cutting quotation turnaround from a full day to under ten minutes.
The Business
An industrial-components distributor based in Tamil Nadu, selling to manufacturers across three states from three branch offices. The business runs around 40 active B2B accounts and carries several hundred SKUs, with each branch quoting and invoicing largely on its own.
The Challenge
Every quotation was assembled by hand. A sales rep built the quote in one spreadsheet, cross-checked availability against a stock sheet the warehouse updated once a day, then re-keyed the approved figures into a separate invoicing tool. A single quotation could take the better part of a working day to turn around — and because the stock figures were already a day old, quotes occasionally promised inventory that had just been sold. In a market where buyers often go with the first credible quote in their inbox, that lag was quietly costing deals.
"We were losing orders we should have won — not on price, but because someone else quoted the same day and we didn't."
— Sales Head, industrial distribution client
The Solution
Over a six-week rollout, Three Roses implemented BizOS across all three branches, folding the CRM, quotation builder, live inventory and invoicing into one system. Sales staff now build a branded quotation directly against real-time stock and convert it to a confirmed order in a single click, while branch managers approve requests from their phones. Historical accounts and open orders were migrated in during the same window, so no branch started from a blank slate.
The Results
- Quotation turnaround dropped from roughly a full working day to under ten minutes
- Inter-branch stock discrepancies fell to near zero after the first monthly reconciliation
- Quote-to-order conversion improved by about a third in the first quarter as reps responded faster than competitors
- The owner gained a single live dashboard of sales and inventory across all three locations
What's Next
The business is now rolling out BizOS's workflow automation to handle purchase approvals automatically, removing another layer of manual coordination between branches.
