How a Growing Fitness Studio Fixed Its Front Desk Bottleneck with GymOS
A multi-location fitness studio replaced manual sign-in sheets with GymOS QR entry, and used the data to cut membership churn.
The Business
A three-location fitness studio group in Tamil Nadu offering strength training and group classes, with a combined membership in the low thousands and steady month-on-month growth — but no consistent way to track who was actually showing up.
The Challenge
Peak-hour check-in ran off a paper sign-in sheet at the front desk, so evening rushes backed up and management had no reliable picture of attendance patterns. Renewals lived in a spreadsheet the front desk updated by hand, which meant lapsed memberships were usually noticed only when the month's revenue came in short — well after the member had already drifted away.
"Members were leaving and we didn't know until the money stopped coming in. By then it was too late to win them back."
— Studio Owner, multi-location fitness client
The Solution
In a four-week rollout across all three studios, Three Roses replaced the sign-in sheets with GymOS QR entry and connected membership, billing and attendance into one system. Automated renewal reminders were configured to reach members before a plan lapsed rather than after, and the front desk gained a live occupancy view for each location.
The Results
- Front-desk check-in fell from an average of 45 seconds of manual lookup to under 5 seconds per member
- Involuntary churn from lapsed renewals dropped by around 15% within the first quarter
- Peak-hour queues at the front desk effectively disappeared
- Owners gained a single dashboard showing occupancy and revenue across all three locations
What's Next
The studio group is now using GymOS's reporting to identify its highest-performing class time slots and plan an expansion into a fourth location.
